1.5 Bulk Product Optimisation Guide
Overview
SmartDescribe Pro lets you optimise image alt text across multiple WooCommerce products, helping you maintain consistent, descriptive image text throughout your online store.
Instead of opening every product individually, you can select multiple products and run an optimisation process across your selection.
Bulk optimisation is particularly useful for stores with large product catalogues, seasonal collections, new product ranges, or existing products with missing or outdated image alt text.
Important: SmartDescribe Pro focuses on product image alt text. It does not rewrite product titles, descriptions, prices, or other product content as part of image alt text optimisation.
Before You Begin
Before running a bulk optimisation, make sure you have completed the following steps:
- SmartDescribe Pro is installed and activated.
- WooCommerce is installed and active.
- At least one supported AI provider has been configured.
- Your AI provider connection has been tested successfully.
- Your writing tone and character limit have been configured.
- The products you want to optimise are published and available in the product list.
AI providers may impose usage limits or charge for API requests. Check your provider’s current pricing and usage limits before processing a large catalogue.
Step 1: Open the Products Screen
- Log in to your WordPress administration area.
- Navigate to SmartDescribe → Products.
- Allow the product list to load.
The Products screen is where you can review existing image alt text, select products, and run optimisation actions.
Depending on your installed version and screen configuration, the list may display information such as product names, current alt text, and optimisation controls.
Step 2: Review the Products
Before selecting products, review the list and identify which items need attention.
Look for products whose image alt text is:
- Missing.
- Too vague to describe the image clearly.
- Repetitive or generic.
- Inaccurate or out of date.
- Unhelpful to customers using assistive technology.
Where existing alt text is already accurate and useful, consider whether it needs to be changed.
Tip: Start with a small group of products. This lets you assess the quality of the generated alt text before processing a larger selection.
Step 3: Select Products
Select the products you want to optimise using the selection controls provided on the Products screen.
If your version provides a Select All option, check which products it applies to before proceeding. It may select only the products currently displayed rather than every product in your entire WooCommerce catalogue.
If you are working with a large store, process products in manageable groups.
This approach makes it easier to review the results, identify problems, and manage AI provider usage.
Step 4: Start Bulk Optimisation
Once you have selected your products:
- Locate the bulk action control.
- Choose the available optimisation action, such as Optimise Selected, if that is the label in your installed version.
- Start the process using the relevant action button.
- Allow the plugin to process the selected products.
Avoid repeatedly clicking the optimisation button while a batch is running. Doing so may trigger duplicate requests or make it harder to determine which products have been processed.
Keep the browser tab open if the current version relies on the page to display progress or manage the batch.
Step 5: Monitor Progress
Bulk optimisation may take longer than optimising a single product because each selected item needs to be processed.
Depending on your installed version, the interface may provide progress information or individual results as the process runs.
During processing:
- Allow the current batch to finish.
- Watch for any reported errors.
- Avoid starting another batch for the same products until the first one has finished.
- If the process appears to stop, check the reported status before restarting it.
If you are processing a large number of products, smaller batches are generally easier to troubleshoot than one very large batch.
Step 6: Review the Results
When processing has finished, review the resulting alt text.
Do not assume that every AI-generated result is correct simply because the request completed successfully.
Check each result for the following:
Accuracy
Does the alt text describe what is actually visible in the image?
Relevance
Does it focus on the important visual information rather than unrelated product details?
Clarity
Can a customer understand the image description without unnecessary wording?
Length
Is the text concise enough to be useful while still conveying the essential information?
Natural language
Does it read naturally, without awkward phrases or unnecessary keyword repetition?
Accessibility
Would the description help someone who cannot see the image understand its relevant content?
For example, an alt text description for a handmade ceramic mushroom ornament should describe the mushroom’s appearance and distinguishing features rather than simply repeat a broad category such as “garden decoration”.
Step 7: Check the Product Images
After optimisation, confirm that the updated alt text has been saved.
You can check the relevant product image through the product editor or the WordPress Media Library, depending on how the image is managed by your store.
Remember that SmartDescribe Pro’s product optimisation targets the product’s featured image. Do not assume that running a bulk operation also optimises every image in a product gallery.
If an image still shows its previous alt text, check the plugin’s reported result and verify that you are inspecting the correct image.
Existing Alt Text and Bulk Changes
Bulk optimisation can affect existing alt text, depending on the behaviour of your installed version and the selected operation.
Before processing products with established descriptions:
- Review a sample of the existing alt text.
- Test the process on a small selection.
- Check the generated results before proceeding with the rest of the catalogue.
- Keep a record of important existing descriptions if you may need to restore them.
SmartDescribe Pro includes optimisation history and undo functionality where supported by the installed version. Check the available history controls and confirm which changes can be restored before relying on them as your only recovery method.
Using Bulk Optimisation with Your AI Settings
Your configured AI provider and writing preferences influence the generated alt text.
Before running a large batch, confirm that:
- The intended AI provider is selected.
- Its API connection is working.
- The writing tone suits your products and customers.
- The character limit is appropriate for concise image descriptions.
- Any applicable category-specific templates are configured as intended.
If the output is consistently too long, too generic, or unsuitable for your products, adjust the relevant settings and test again before processing more items.
Troubleshooting
No products appear in the list
Confirm that WooCommerce is active and that your store contains published products. Check whether search terms or other filters are limiting the results.
I cannot select products
Refresh the Products screen and try again. If selection controls remain unavailable, check for JavaScript errors or conflicts with other WordPress plugins.
Bulk optimisation does not start
Confirm that an AI provider is configured and that its API connection works. Check for error messages in the plugin interface and verify that your provider has not reached a usage limit.
Some products fail while others succeed
Review the reported errors. Possible causes include provider rate limits, temporary connection problems, invalid image data, or individual API request failures. Retry only the products that need attention after addressing the reported issue.
The process appears to stall
Give the current operation time to finish and check its status before restarting it. Large batches, hosting limits, network interruptions, or provider delays may affect processing.
If the problem persists, test with a smaller selection and review your WordPress, hosting, and plugin logs.
The generated alt text is not suitable
Review your writing tone, character limit, and category-specific settings. Check whether the source image clearly shows the product and its distinguishing features. AI-generated descriptions should always be reviewed for accuracy.
The alt text has not changed on the website
Confirm that the optimisation succeeded and that you are checking the correct image. If a caching or image optimisation plugin is active, clear the relevant cache and check again.
Recommended Workflow for Large Stores
For the best balance of efficiency and quality, use this process:
- Review your existing product image alt text.
- Select a small group of products that need improvement.
- Run bulk optimisation.
- Review the generated descriptions for accuracy and quality.
- Adjust your settings if necessary.
- Process the next group of products.
- Check the saved alt text on a sample of completed products.
- Revisit failed products and resolve any reported errors.
This staged approach helps you maintain control over quality, API usage, and the changes made to your store.
Best Practices
- Start small: Test a manageable group before processing your full catalogue.
- Prioritise missing alt text: Focus first on images that have no useful description.
- Review the output: AI-generated text should not be treated as automatically correct.
- Avoid unnecessary changes: Accurate existing alt text may not need replacement.
- Use meaningful descriptions: Describe the image rather than filling it with keywords.
- Monitor API usage: Large batches may consume more provider credits or incur additional charges.
- Check saved results: Confirm that the descriptions have been stored correctly.
- Keep recovery options in mind: Understand the available history and undo controls before making widespread changes.
Summary
SmartDescribe Pro bulk optimisation helps you improve product image alt text more efficiently across your WooCommerce store.
By selecting products in manageable groups, monitoring the process, reviewing the generated descriptions, and checking the saved results, you can reduce repetitive manual work while maintaining control over image description quality.
For the best results, combine bulk processing with occasional individual optimisation and regular reviews of your product images.
