CEM — Capacity & Availability

Caz Event Manager Pro provides built-in event capacity control for WooCommerce products.

Rather than relying on WooCommerce product stock to determine how many people can attend an event, Caz Event Manager maintains a separate event capacity and calculates availability from the bookings associated with the event.

This allows an event to have a defined maximum number of attendees while continuing to use the normal WooCommerce checkout for customer bookings.

How Event Capacity Works

When creating an event, you specify the maximum number of places available.

For example:

Event capacity: 20

Caz Event Manager then tracks the number of places booked for that event.

If 8 places have been booked:

Capacity: 20
Booked: 8
Remaining: 12

The remaining capacity is calculated automatically.

The basic calculation

Remaining places = Event capacity − Booked places

Caz Event Manager prevents the remaining number from becoming negative.

Capacity Is Separate from WooCommerce Stock

Caz Event Manager Pro does not use normal WooCommerce product stock as the event capacity mechanism.

The event has its own capacity value.

WooCommerce continues to provide the product, cart, checkout, order and payment functionality, while Caz Event Manager uses the event capacity and booking information to determine event availability.

This distinction is important.

WooCommerce manages

  • Products
  • Cart
  • Checkout
  • Orders
  • Payments
  • Customers

Caz Event Manager manages

  • Event capacity
  • Event bookings
  • Attendees
  • Places remaining
  • Event availability
  • Waitlists
  • Check-in

This means an event can be managed as a capacity-controlled booking even though WooCommerce product stock management is not being used to control the number of attendees.

Setting Event Capacity

When creating or editing an event, enter the maximum number of attendees in the Capacity field.

For example:

Capacity: 15

This means the event can accept up to 15 booked places.

The capacity can be viewed by event administrators alongside the current number of bookings and remaining places.

How Bookings Affect Capacity

Caz Event Manager calculates bookings from WooCommerce orders.

The plugin checks qualifying WooCommerce orders and counts the quantities of the event product that have been booked.

For example:

CapacityBookedRemaining
20020
20515
20128
20191
20200

This means the availability displayed by Caz Event Manager reflects actual event bookings recorded through WooCommerce.

Which Orders Count?

Caz Event Manager counts bookings from the WooCommerce order statuses used by its booking system.

The finished version recognises:

  • Processing
  • Completed
  • On-hold

orders when calculating booked places.

This allows the event capacity calculation to be based on the WooCommerce orders associated with the event.

When an Event Becomes Full

When the number of booked places reaches the configured capacity, the event is considered fully booked.

For example:

Capacity: 20
Booked: 20
Remaining: 0

The event can then display as FULL or SOLD OUT to customers rather than continuing to accept normal bookings.

This provides automatic capacity enforcement without requiring the organiser to manually monitor every booking.

Waitlist for Full Events

Caz Event Manager Pro includes a built-in waitlist.

When an event is fully booked, customers can be given the option to join the waitlist.

The public event display can show:

Fully booked

along with a Join Waitlist option.

Customers can submit their details through the waitlist form.

The waitlist is managed separately from the confirmed event bookings.

Managing the Waitlist

Event staff can view the people waiting for an event.

When a place becomes available, staff can notify a person on the waitlist.

The notification system can use configurable email templates and event information.

Once a waitlisted person has been notified, the entry can be removed from the waitlist.

This allows organisers to manage demand for events that have reached capacity without increasing the event’s maximum capacity.

Capacity and Walk-in Bookings

Caz Event Manager also supports walk-in bookings.

A walk-in attendee can be added by event staff without going through the normal online WooCommerce checkout process.

Capacity is still taken into account when adding a walk-in attendee.

If an event is already fully booked, Caz Event Manager can prevent the walk-in from being added and display a message indicating that the event is full.

This helps maintain the configured maximum attendance even when bookings are being handled manually on the day.

Viewing Capacity

Capacity information is available in several areas of Caz Event Manager.

Event administrators can see information including:

  • Capacity
  • Booked
  • Remaining
  • Waitlist count
  • Revenue

The event list provides an overview of the current status of each event.

For example:

Capacity: 20
Booked: 14
Remaining: 6

This gives organisers a quick view of event availability without opening each individual attendee record.

Capacity on the Event Page

Caz Event Manager can display event capacity information on the public WooCommerce product page.

Customers can see information such as:

  • Event capacity
  • Number booked
  • Places remaining

This gives customers a clearer indication of availability before they book.

Capacity in the Public Events Listing

The [caz_events] shortcode provides a public event listing.

The event cards can display availability information and use different states depending on the event’s capacity.

An available event can display:

Book

When the event has reached capacity:

FULL

When a waitlist is enabled, a full event can also provide:

Join Waitlist

This allows customers to understand the current availability directly from the event listing.

Capacity Dashboard Information

The Caz Event Manager dashboard uses capacity and booking information to provide event statistics.

The mobile dashboard can show:

  • Total capacity
  • Total bookings
  • Capacity utilisation
  • Event booking levels
  • Check-in information

This gives staff an overview of how events are performing.

Capacity Analytics

Caz Event Manager can calculate capacity information across events.

For example, if three events have:

  • Event 1 — capacity 20
  • Event 2 — capacity 15
  • Event 3 — capacity 25

the dashboard can calculate:

Total capacity: 60

The corresponding number of bookings can then be compared with total capacity to provide an overall view of event utilisation.

Revenue and Capacity

Event capacity is also displayed alongside event revenue and booking information in the event-management interface.

This allows organisers to see the relationship between:

Capacity → Bookings → Revenue

For example:

EventCapacityBookedRemainingRevenue
Beginner Workshop20164$800
Advanced Workshop15150$750

This provides a quick operational overview of each event.

What Happens When a Booking Is Cancelled?

When a booking is cancelled, the corresponding booking information is updated as part of the cancellation process.

Where a WooCommerce refund is issued, the underlying WooCommerce order remains part of the store’s order history.

Caz Event Manager uses the qualifying booking orders when calculating event attendance and availability.

If a place becomes available after a cancellation, the event can again have available capacity and the organiser can use the waitlist functionality to contact interested customers.

Capacity and Event Cloning

Caz Event Manager Pro includes event cloning.

This allows an existing event to be duplicated when creating another session.

When creating the new event, review the capacity carefully.

For example:

Original event:
Beginner Mosaic Workshop — Capacity 20

New event:
Beginner Mosaic Workshop — Capacity 15

The new event should have its own capacity appropriate to the new session.

Unlimited or Zero Capacity

A capacity value of zero is treated differently from a normal positive capacity.

Where no positive capacity has been configured, Caz Event Manager does not calculate a finite remaining-place figure in the same way as a capacity-controlled event.

For capacity-controlled events, always enter the actual maximum number of attendees.

When creating an event:

  1. Determine the maximum number of attendees.
  2. Enter that number in the event Capacity field.
  3. Publish the event.
  4. Test a booking.
  5. Confirm the booking appears correctly.
  6. Check the Booked and Remaining figures.
  7. Continue monitoring availability as bookings are received.
  8. When capacity is reached, the event becomes full.
  9. Use the waitlist when additional customers want to attend.

Capacity Checklist

Before publishing an event, check:

  • The event capacity has been entered.
  • The capacity reflects the actual venue or session limit.
  • WooCommerce checkout is working.
  • A test booking has been completed.
  • The booking appears against the event.
  • The booked figure is correct.
  • The remaining places are correct.
  • The full-event behaviour has been tested.
  • The waitlist setting has been checked.
  • Walk-in capacity requirements have been considered.

Capacity vs WooCommerce Stock — Important Distinction

Caz Event Manager Pro should not be described as a WooCommerce stock-synchronisation system in its current finished version.

The finished plugin uses event capacity and WooCommerce bookings as its availability model.

The relationship is:

↓
Customer Booking
↓
WooCommerce Order
↓
Caz Event Manager Booking Count
↓
Event Capacity Calculation
↓

↓
Waitlist when applicable

This is the capacity model used by the finished Caz Event Manager Pro release.

Summary

Caz Event Manager Pro provides dedicated event capacity management for WooCommerce.

An organiser sets the maximum number of places for an event. Caz Event Manager then calculates booked places from qualifying WooCommerce orders and determines how many places remain.

When capacity is reached, the event closes to normal bookings and can offer a waitlist.

This provides a complete capacity workflow while allowing WooCommerce to continue handling the underlying product, checkout, order and payment processes.

Caz Event Manager Pro separates event capacity from WooCommerce product stock, providing event-specific availability management within a WooCommerce website.
