CEM- Attendees

Caz Event Manager Pro provides a dedicated Attendees area for managing the people booked into each event.

The attendee system connects WooCommerce orders with the event-management process, giving organisers a central view of who has booked, how many places have been purchased, who has checked in and who did not attend.

The attendee workflow is:

WooCommerce Booking → Attendee List → Check-In → Attendance Record

Opening the Attendee List

From the WordPress administration area, go to:

Caz Events → Attendees

The Attendees screen allows you to select an event and view the bookings associated with that event.

Select the required event from the event selector and choose:

View

Caz Event Manager then displays the attendee information for that event.

Selecting an Event

The Attendees screen provides an event selector containing the events created through Caz Event Manager.

Select the event you want to manage.

The selected event becomes the focus of the attendee list.

This is particularly useful when a website has multiple workshops, classes or sessions running at different times.

Event Attendance Summary

When an event is selected, Caz Event Manager displays key attendance information.

This can include:

  • Capacity
  • Booked
  • Checked In
  • Attendance Rate
  • Remaining

For example:

Capacity: 20
Booked: 18
Checked In: 15
Attendance Rate: 83%
Remaining: 2

This gives the organiser an immediate overview of the event.

Attendee Information

The attendee list displays information taken from the associated WooCommerce order.

The list can include:

  • Order number
  • Customer name
  • Email address
  • Phone number
  • Quantity booked
  • Order status
  • Booking date
  • Check-in status

This allows event staff to identify attendees and confirm their booking details.

How Attendees Are Created

Caz Event Manager does not require organisers to manually enter every online attendee.

Online attendees originate from qualifying WooCommerce orders for the event product.

The plugin checks the WooCommerce orders associated with the selected event and uses the order information to build the attendee list.

This keeps the event attendee information connected to the customer’s WooCommerce purchase.

Booking Quantity

The attendee list records the quantity purchased in the WooCommerce order.

For example:

Customer: Jane Smith
Quantity: 2

This means the order represents two booked places.

The quantity contributes to the event’s overall booked total and capacity calculation.

WooCommerce Order Status

The attendee system uses qualifying WooCommerce orders when building the event attendee list.

The finished implementation checks orders with statuses including:

  • Processing
  • Completed

These orders form the basis of the attendee records displayed for the event.

Checking In an Attendee

Caz Event Manager allows staff to manually check an attendee in from the Attendees screen.

Locate the attendee in the event list and select:

Check In

The attendee’s booking is then marked as checked in for that event.

The attendee list displays the updated check-in status.

This is useful as a simple manual check-in method when staff already have the attendee list available.

QR Check-In

Caz Event Manager also provides QR-code scanning for event check-in.

The QR scanner can be used from a phone or tablet to scan an attendee’s event ticket.

The attendee can present the QR code received with their booking.

Once the ticket is successfully processed, the attendee can be recorded as checked in.

This provides two approaches to event-day attendance:

Manual Check-In

or

QR Check-In

Undoing a Check-In

If an attendee is accidentally marked as checked in, Caz Event Manager provides an:

Undo

option.

Selecting Undo removes the check-in record for that attendee and returns them to the normal unchecked-in state.

This is useful if staff accidentally check in the wrong person or need to correct an attendance record.

Recording a No-Show

Caz Event Manager can record a booking as a No Show.

This allows organisers to distinguish between:

  • Booked
  • Checked In
  • Did Not Attend

A no-show record can be used when an attendee had a valid booking but did not attend the event.

This provides more useful attendance information after the event has finished.

Attendance Information

The attendee-management system can record additional attendance information.

This allows the organiser to maintain an attendance record beyond simply whether the ticket was scanned.

The attendance information can be used when reviewing the event after it has finished.

Attendee Notes

Caz Event Manager provides an attendee notes facility.

Notes can be associated with an attendee and used by event staff for operational information.

For example, staff may use notes for information relevant to managing the attendee during the event.

Notes should be used for appropriate event-management information rather than storing unnecessary sensitive information.

Attendance Rate

Caz Event Manager calculates an attendance rate from the event’s booked and checked-in figures.

The basic calculation is:

Attendance Rate = Checked In ÷ Booked × 100

For example:

Booked: 20
Checked In: 17

The resulting attendance rate is:

85%

This provides an easy way to measure actual attendance against bookings.

Capacity and Attendees

The attendee screen also displays the event’s capacity and remaining places.

For example:

Capacity: 25
Booked: 20
Remaining: 5

The attendee list therefore provides both the individual booking information and the overall event capacity information.

Exporting Attendees

Caz Event Manager provides an:

Export Attendees CSV

function.

The CSV export can contain:

  • Event name
  • Order number
  • Customer name
  • Email address
  • Phone number
  • Quantity
  • Order status
  • Booking date

This allows organisers to download the attendee information for use in spreadsheet software or other administrative workflows.

Exporting the Email List

Caz Event Manager also provides an:

Export Email List CSV

function.

This produces a simpler list containing attendee names and email addresses.

The email list can be useful when organisers need to work with the event’s customer communication list.

For example, it can be used when preparing an event reminder or reviewing the customers associated with an event.

Printing the Attendee List

Caz Event Manager provides a:

Print Attendee List

function.

This creates a print-friendly attendee list that can be used at the event.

A printed list can be useful as a backup to digital check-in or when staff need a physical attendance list at the venue.

Using the Attendee List on Event Day

A typical event-day workflow can be:

1. Open Caz Events → Attendees

↓

2. Select the event

↓

3. Review capacity and booking numbers

↓

4. Open the QR scanner

↓

5. Scan arriving attendees

↓

6. Confirm check-in

↓

7. Use the attendee list to resolve any questions

↓

8. Manually check in an attendee if required

↓

9. Record no-shows after the event

This gives staff both the digital event list and the check-in tools required to manage attendance.

Correcting Attendance Records

If an attendee has been checked in incorrectly, use:

Undo

to remove the check-in record.

If an attendee did not attend, use the available no-show function to record the correct attendance outcome.

Maintaining accurate attendance records is useful for calculating attendance rates and reviewing event performance.

Attendee Data and WooCommerce

Because online attendees originate from WooCommerce bookings, the attendee information remains connected to the underlying WooCommerce order.

This means the organiser can identify the relationship between:

Customer → Order → Event → Attendee

The WooCommerce order remains the source of the transaction information, while Caz Event Manager provides the event-specific attendance management.
